How to set up your calendar and availability
Create a booking calendar, set when you are free, and personalise how it looks and works, so clients book the right times without the back-and-forth.
Why this matters
A booking calendar takes the admin out of scheduling. Clients see only the times you are actually free, pick one, and get a confirmation. You stop playing email tennis, cut no-shows with automatic reminders, and keep every booking in one place.

Create your calendar
In the left-hand menu, click Calendars, then Calendar settings in the top right.
Click Create calendar.
Choose the type that fits how you work:
A simple or personal calendar for one-to-one appointments, like a consult or a treatment.
A round-robin calendar to share bookings across a team.
A class or group calendar when several people book the same time slot, like a workshop.

Name it and add your branding
Give the calendar a clear name your clients will recognise, for example "Discovery call" or "Facial appointment".
Add a short description so people know what they are booking.
Set the meeting length, and choose where it happens: a Zoom or Google Meet link, a phone call, or your address for in-person visits.
Add your logo or brand colour so the booking page looks like you, not a generic form.

Setting up and customising your calendar
Set your availability
This is the part that keeps your diary sane.
Set your weekly hours, the days and times you actually take bookings.
Add buffer time before or after appointments, so you are not booked back-to-back.
Set a minimum notice, so no one can book you in ten minutes' time.
Set how far ahead people can book with the maximum days in advance.
If you want, cap how many bookings you take per day.

Personalise the booking experience
Choose what the booking form asks for, so you get the details you need before the appointment.
Turn on the confirmation, and set a confirmation message or a redirect to a thank-you page.
Turn on reminders by email and text. This is the simplest way to cut no-shows.

Connect your own calendar

Share it and test
Copy the booking link and put it in your bio, your emails and your messages, or add the calendar to a page on your site.
Book yourself an appointment from the link to check the flow, the confirmation, and that it lands where you expect.

Pro tip: keep one calendar per type of appointment. It keeps your availability and reminders clean, rather than trying to make one calendar do everything.
Note: if a calendar is not offering any times, check that your weekly hours are set, your minimum notice is not too high, and the maximum days in advance is not too low.
